About The Role:

As our newest Facilities and Office Coordinator,  you will play a key role within the both Facilities Department, Procurement, Finance and Office Management.  You will primarily be responsible for ensuring that employees at our Intermedia Bellevue office are provided with both facilities and office support as well as support with some procurement activities. In this role you will be responsible for performing a variety of administrative and customer service duties for the Facilities department.

This role is based in Bellevue, WA. (no remote opportunity). This role is considered an “essential worker” and will be following strict COVID-19 protocols

What you will be doing:

  • Coordinate corporate events and office wide meetings
  • Support the Procurement team as needed
  • Mailing of corporate invoices using Pitney Bowes mailing equipment such as mail inserter and postage meter and order office/facility supplies as needed
  • Sorting incoming mail and notifying employees for pick up or delivery
  • Manage office seating plan and update accordingly
  • Provide assistance to the IT and HR Teams for the onboarding of new employees and employee relocations
  • Provide support to leadership teams with lunch orders, scheduling conference rooms and general office support as requested
  • Café maintenance including restocking supplies and coolers, cafe upkeep, and organization of storage room
  • Work with Facilities Manager and Property Management to scheduling building such as lighting, furniture and general maintenance
  • Create service request using Property Managements work order request system
  • Create communications to Bellevue employees regarding news, corporate lunch menus and events
  • Work with Facilities Manager to create and maintain vendor relationships to support the building needs and lead vendors to deliver projects on time and within scope
  • Respond to off-hours facilities related emergencies as required and report to the Facilities Manager
  • Assist Finance with procurement functions such as data entry and reconciliation of corporate credit card expense

What you will bring to the role:

  • Minimum of an Associate’s degree, Bachelor’s Degree Preferred
  • Minimum 2 years of related experience
  • Excellent organizational skills and an aptitude for detail
  • Ability to work independently and collaboratively
  • Ability to handle multiple projects simultaneously and work under stringent deadlines
  • Must be self-motivated
  • Demonstrated Time Management skills
  • Ability to remain level-headed in a high-pressured environment
  • Constantly striving for Excellence in Customer Experience
  • Excellent written and verbal communication skills
  • Strong interpersonal skills
